| This glossary has been developed to assist UWA staff with the terms used in Callista. Some terms will be familiar, but their meaning may have changed in the context of Callista, and some terms will be completely new. A | Achievable Credit Points | The number of Credit Points awarded upon successful completion of the unit. Achievable Credit Points are used by the system for checking academic progress & completion. Top | | Address Type | Callista allows the capture of a number of addresses for students, such as: CONTACT OS-CONTACT HOME EMERGENCY CONTACT TERM SPONSOR Top | | Administrative Unit Status | Describes the Institution-defined administrative status applicable to a discontinued Student Unit Attempt. Examples: WP - Withdrawn, pre-term WD - Withdrawn, no Academic Penalty WN - Withdrawn, deemed fail Top | Admission Application Status | Describes the progress of the application within the Admission Process. Top | | Admission Process Category | Selection of the appropriate Admission Process Category assists processing by controlling the Admission steps required (for example: International Student Admission has different steps to those for local, Commonwealth Supported Students). Top | | Alternate Person ID | Code by which Person is recognised by other Systems and/or organisations. Examples include: Previous SRS number, TISC application number. Top |
B | | Block | A section within a Callista SMS Form, which displays a selection of related information. Each block is contained within a border.

C | | Callista SMS | Callista Student Management Software, the software package chosen by the University to replace the previous Student Records System (SRS).
Top | | Completion Period | The Student-nominated year and time (ie: end of year, mid-year) when the student considers they will have completed all course requirements (Used to identify potential Graduands).
Top | | Confirm | 'Confirm' within Callista has quite a different meaning than that traditionally in use at UWA.
Within Callista, Students confirm enrolment when they finish the enrolment for a unit in which they have been pre-enrolled by the system. Where students have not been pre-enrolled, when they select units to add to their enrolment, their enrolment is automatically confirmed.
At UWA, 'confirm' has been used to describe the process of Faculties checking and approving Student enrolments. To minimise confusion, SIMS Implementation Project documents have endeavoured to talk about 'Enrolment Checking' rather than 'Confirmation of Enrolment' in this context.
A Local Development will provide a form whereby faculties will be able to indicate that a particular enrolment has been checked. Callista SMS does have much greater enrolment validation than the previous SRS, so much of the manual checking of prerequisites, co-requisites, incompatible units, etc., will be handled largely by Callista. The system will also assist in checking course completion, which should assist administrative staff greatly.
Top | | Connect (Staff, Student) | Most staff and all students will access Callista via a highly-configurable Connect web interface. The alternate means of access Webforms is for staff Power-Users only.
Top | | Course | A course of study leading to an award. A course will normally comprise a number of Units taken over several years, with successful completion of the course leading to an Undergraduate or Postgraduate Degree.
Top | | Course Offering Instance | A specific occasion on which a course is offered (for example: 2004, Semester 2)
Top | | CSS | Callista Software Services, the developers and suppliers of Callista SMS.

D | | Date Alias | Institution-defined name of an event (not an actual date value). For example: CENSUS (DEST Census Date), AGRD-START (Agreed Start Date for International Students). Calendars within Callista control how the system functions at certain points of the year.
Top | | DFD | Data Flow Diagram. A 'map' of information/data flows and stores, used extensively in the Current Business Process Specification documents.
Top | | Discontinuation | Cessation (withdrawal) of a Student Unit Attempt and/or Student Course Attempt.
Top | | Discontinuation Reason Code | Identifies the primary reason behind the discontinuation of a Student's Course Attempt as given by the student.

E | | Enrolled Credit Points | The number of Credit Points in which the student is considered to be enrolled (used mainly for reporting to DEST, and calculation of Student Fees).
Top | | Encumbrance | A restriction on a student's enrolment, which may be Academic (eg: Suspended, Excluded) or Administrative (eg: non-payment of fines). Callista allows a variety of encumbrances, each with their own effect on a student's enrolment.
Top | | Encumbrance Effect | The 'consequence' of an encumbrance applied to a Student.

F | | Form | Within Callista Webforms, a Screen of information, composed of several Blocks. Each Form is identified by a Code. For example, the Record Direct Admissions Form is ADMF3000.

G | | GPA | GPA is a student's Grade Point Average for the whole course based on their current achievement. GPA will only appear on a student's Academic Record if they commenced their course from 2005 onwards.
The formula for calculating GPA is:

(a) The GPA calculation includes all attempts at units which are awarded a numeric grade or the result 'Withdrawn-Failure' (which is converted to a 1).
(b) Unfinalised results are not included in the calculation.

Top | | Grading Schema | Describes a set of available marks, grades and results which can be used in the assessment of Student Unit Attempts.
Top | | Graduand | Used to describe students who have been deemed to have completed course requirements by the institution but who have not yet had their award officially conferred at a Graduation Ceremony or by Senate.
Top | | Graduate Number | Running sequence of numbers generated by SRS. Used to provide unique ID to graduates. Is separate from the student number because students may have more than one graduate numbers and/or may not have a student ID.

K | | Keyboard Shortcuts | There are a number of keyboard shortcuts which facilitate usability within the Webforms version of Callista. They will be collated and available as a separate document. However, some common shortcuts are:
F6 - Insert Record F7 - Enter Query Mode F8 - Execute Query F10 - Save Esc - Cancel Query (during execution) Page Up - Previous Record Page Down - Next Record

L | | Lamp | Words or phrases which appear on various Callista Forms to alert users to important information. The most common is the QUERY lamp, which needs to be visible before Query data can be input. Other lamps indicate if a student is subject to an Encumbrance, or give details of applicable Load Calendars, etc.

M | | Major | The major field of study in a degree program. A sequence and/or total points value of units prescribed by faculty and/or course rules. Within Callista SMS, handled as a Unit Set.
Top | | Major Exemption Institution | The institution where a student completed the majority of studies for which Advanced Standing is being approved.

P-Q | | Program | A prescribed course of study as detailed in the rules governing a course. A student may complete a program and a major. Students who complete a specialsied program receive a 'named' degree. For example, undertaking a Bachelor of Science in the specialised program of Genetics will result in the award of a BSc (Genetics). This option currently exists only for courses within the Faculty of Life and Physical Sciences and the Faculty of Natural and Agricultural Sciences.
Top | | Progression Decision Status | When a progression outcome is added to a Student Course Attempt, this indicates the current status of the decision in relation to this outcome. One of the following may be used:
PENDING - A recommended outcome requiring approval or waiving. The outcome cannot be applied until approved. APPROVED - The outcome has been approved by the relevant academic committee or Organisational Unit and can now be applied. WAIVED - An appropriate Organisational Unit has decided the waive the penalty/outcome. CANCELLED - The decision to cancel the outcome was made as the result of a Show Cause or Appeal hearing. REMOVED - The outcome has been removed for a reason other than Show Cause or Appeal.
Top | | Progression Status | The status indicates the current standing of a Student Course Attempt in relation to Progression. The failure of Progression Rules and the subsequent decision status of resulting outcomes trigger the System updating of the status.
GOODSTAND - No progression outcomes are currently pending or active. UNDCONSID - A PENDING progression outcome exists, but is under consideration by the relevant faculty authorities. SHOWCAUSE - For those Course Attempts where a Show Cause period is allowed, either the expiry date has not bee reached, or the student has made a submission, but no decision on the submission has been recorded.
PROBATION - A probationary outcome has been approved. SUSPENSION - A suspension outcome has been approved. EXCLUSION - An exclusion outcome has been approved. EXPULSION - An expulsion outcome has been approved.

R | | Rules | There are various kinds of rules. The Callista system has the ability to enter and check rules. For instance, Validation Rules check that students wishing to enrol in a particular unit have complete all necessary prerequisites and/or co-requisite units. Progression Rules monitor students' academic progress through a course, and may be used to apply Progression Outcomes (sanctions). Completion rules identify when a student has completed the requirements for a particular course.
Rules within Callista are drawn from the University's General and Faculty Rules.

S | | Sandpit | A number of experimental Callista environments, set up to allow staff to become familiar with the Callista interface and practice various tasks prior to Go-Live.

Top | | Student Course Attempt Status | Every Student Course Attempt will have one of the following statuses:
ENROLLED - Student has a current, valid enrolment in one or more units. INTERMIT - Student is currently on Approved Leave. INACTIVE - Student has a valid enrolment recorded in one or more units, but the teaching period has not yet begun. DISCONTIN - Student has withdrawn from the course. COMPLETED - Student has completed the requirements for the course. UNCONFIRM - System has set up a Course Attempt following an Offer (Pre-Enrol) but the Student is yet to enrol in any units. LAPSED - System has set up a Course Attempt following an Offer (Pre-Enrol) but the Student has not enrolled in any units by the required date.
Top | | Student Unit Attempt Status (Outcome) | Each Unit Attempt will have one of the following statuses:
ENROLLED - Student has an enrolment in the unit. Enrolled units attract study load and fees if applicable. DISCONTIN - The Student has voluntarily withdrawn from the unit or the University is not offering the unit. The result recorded for a unit when it is discontinued is determined by the date of the discontinuation. Fees may or may not be assessed for discontinued units, depending on the date of the discontinuation. COMPLETE - The Student has a result for the unit. The type of result awarded determines if the unit has been passed or failed, OR if it is incomplete. DUPLICATE - The unit was originally undertaken in another course and has been duplicated in the Student's current course. INVALID - The Student's enrolment in the unit is not valid because they have not satisfied one or more pre-requisites or co-requisites, OR the unit is not compatible with other unit(s). UNCONFIRM - The Student has been pre-enrolled in the unit (following Offer) but has not yet confirmed their enrolment in it. Confirmed units have the status of Enrolled. (NB: 'Confirmation' in Callista is different to the UWA concept of 'Confirmation').

W-Z | WAM | WAM is a student's Weighted Average Mark for the whole course based on their current achievement. WAM will only appear on a student's Academic Record if they commenced their course from 2005 onwards. The formula for calculating WAM is:

Top | | Webforms | The means of accessing Callista which utilises an Oracle browser add-in to access functionality required for 'Power Users.' (Most University staff members will find that the alternative means of accessing Callista - Staff Connect - will provide a user-friendly means of enquiring on Student Details, downloading class lists and uploading results files).
